At VDO Technologies, we provide end-to-end technical support for conferences and events. We understand that sometimes plans may change, and we aim to handle such situations with clarity and fairness. This Cancellation and Refund Policy outlines the terms under which cancellations and refunds are handled for services booked through our website vdotechnologies.in.

Service Booking & Confirmation

• Once a service is booked (either online or via email confirmation), a detailed scope of work and deliverables will be shared with the client.
• A service is considered confirmed upon receipt of an advance payment or full payment as per the agreement.

Cancellation Policy

Client-Initiated Cancellation

• More than 15 days before the event: 100% refund of the advance amount, minus any administrative or payment gateway charges.
• 7 to 14 days before the event: 50% of the advance amount will be refunded.
• Less than 7 days before the event: No refund will be provided due to resource allocation and logistic commitments.

Company-Initiated Cancellation

• If we are unable to fulfill the service due to unforeseen internal issues, a 100% refund will be issued, or the client may opt to reschedule the service at no additional cost.

Refund Policy

• Refunds will be processed within 7–10 business days via the original method of payment.
• Refunds will not be issued for:
  • Delays caused by venue, internet, or third-party vendors not under our control.
  • Miscommunication or incomplete input provided by the client.
  • Partial usage of services during the event.

Non-Refundable Situations

• Any hardware/equipment bookings made on your behalf (e.g., LED screens, sound systems) that are non-refundable by vendors.
• Custom development, content design, or software tools once work has started.
• Travel/accommodation bookings made for outstation events.

Rescheduling Policy

• Clients may reschedule the event support to a later date at least 5 days prior to the original date, subject to our availability.
• Rescheduling within 5 days of the event may incur additional charges.
